Various Note areas and how to use them

Patient Notes
Patient Notes serve as a comprehensive record of the Patient's creation, any edits made to their information, and the identity of the individual who made those changes.
When user logins are activated, it ensures that notes created by one user cannot be altered or deleted by another user.
Note: Notes that are automatically generated by the system for tracking purposes cannot be deleted or edited.
To expand the notes, simply click on the expansion arrow located in the upper right corner.
Note Editor
To view notes in a pop-up window, simply right-click on the note and choose Show in Pop-up.
This will open a larger editing window, providing you with more space to make edits.
Additionally, you can print the individual note by clicking the Print button.
Highlighting Notes
To highlight a patient note, simply right-click on the note and choose a color from the options provided.
In EZClaim, patient notes have the following features:
- They can be entered on the patient record
- They can be expanded by clicking on the expansion arrow
- Only user notes can be deleted; tracking notes cannot be deleted
- Note templates can be used to enter new notes (click in the note field, then right-click to use a template)
- Patient notes can be highlighted in different colors (right-click to see options)
- A report on patient notes is available
Reminder Notes
- Available in both Billing and Scheduling
- Can create pop-up reminders when using Scheduling for New Appt, Attended, Not-Attended
- Can be entered only through the patient record (Billing or Scheduling)
- Can be viewed at the bottom of the Quick Access Details tab, in the Patient Quick Access tab, and in the Find Patient grid
- If reminder notes are not showing, use the Column Chooser to add the column to the grid.
- Note Templates can be used
- Has <insert date and time> functionality
Claim Notes
- Claim notes can be entered in multiple places, such as the Find Claim Grid, Find Service Grid, Find Adjustment, and Find Claim Note.
- To enter a note, simply right-click on the selected rows.
- Claim notes have their own dedicated Find grid called Find Claim Note.
- Claim notes also have their own Report with criteria option called Claim Notes Report.
- Claim notes can be viewed on the lower half of the claim and can be controlled by the Show or Hide Note button.
- Only user notes can be deleted.
- To delete a claim note, click on the small 'x' to the left of the note.
Note: System tracking notes cannot be deleted.
- You can use note templates to easily enter new claim notes.
- Claim notes can be highlighted in different colors. Simply right-click on the note to see color options.
- A report called Claim Notes is available to view all claim notes.
Payment Notes
- Payment notes can be entered in various places such as the New Payment pop-up, Appointment pop-up, and Payment Entry.
- They can be viewed in the Find Payment and Find Disbursement grids, as well as the Payment List Report.
- Payment notes are also visible in the Undisbursed window on the Payment Entry screen.
- If needed, payment notes can be deleted by modifying the existing payment or by deleting the entire payment.
Disbursement Notes
To enter a disbursement note, go to the Payment Entry screen and ensure that Show Notes is checked.
- The payment must be associated with the note and must be disbursed.
- Disbursement notes can also be entered or modified in Payment Modification.
- You can view the disbursement notes in the Find Service grid or by expanding a service line at the claim level.
Note: Disbursement notes can only be deleted in Payment Modification
- Payment must be disbursed for the note to be captured; it cannot be a zero-dollar adjustment.
Adjustment Notes
- Used infrequently – for example, to enter a note on a nonstandard adjustment
- Can be entered at the claim level by double clicking in the Adjs cell (date is required)
- Enter Payment (Show Notes option must be checked)
- Adjustment Notes can be seen when the service line is expanded, in Find Adjustment grid, and Adjustment Report
- Can be deleted or edited by opening the adjustment up
- To delete - click the small x on the left side of the adjustment line
- To edit – position the cursor in the cell that needs to be edited
